The pricing for the Conference Harvester™ is based on three factors: the number of presentations, the number of speakers, and the complexity of the tasks required for the speaker to complete.

A task is established for each unique request of data that is required from the speakers. The complexity of tasks can vary and are divided into 3 categories: express, standard, and pro tasks. More information on these 3 categories can be found below.

  • Express Tasks collects contact and position information from the speakers.

    Copyright Agreement: A permission statement allowing the managing organization to use and republish the presentation files and/or audio/video collected as part of the meeting’s proceedings. This task can also be used for speaker letter of agreements.

    Upload Presentations: Presentations files, video and other digital handouts are collected through this task. The format can be specified and or limited and detailed instructions can be included as an attachment.

    Biography: Biographies from the speakers can be collected and word count limitations can be enforced.

    Photo: Photos can be uploaded by the speakers that meet certain pixel and/or size requirements.

  • Standard Tasks include the Express Tasks
    and the following:


    Papers

    Learning Objectives: Speakers can be requested to submit language that is frequently used in marketing their presentation to attendees about what the major learnings will be after attending their presentation.


    Abstracts and Keywords: This features "pulls" in data already collected during the abstract collection process and allows speakers to review/edit their submission before publication. Keywords can also be added or confirmed.

    Download Attachments: Specific forms, such as a W9 form, which cannot be modified can be downloaded by the speakers and them faxed back or scanned and emailed to the conference organizers.

    Social Event Reservations: Events that are typically being provided access to for free by the Speakers are administered through this task.

    Education History: This feature allows speakers to input their education and where it was obtained.

    Employment History: A job history is input through this feature.

  • Pro tasks include all the Express,
    Standard Tasks, and the following:



    Audio-Visual Needs: This typically includes the AV that is being provided in each room and a check list of other options available upon request.


    Faculty Disclosures: Financial information about the speakers can be identified through this task as well as appropriate resolutions that will be observed.


    Hotel Reservations: Conference Management frequently provides hotel rooms at a discounted rate or within a specific room block to speakers. This task captures their expected arrival/departure date as well as additional hotel room preferences.


    Airport Pick-up & Drop-off: The need to provide drivers to and from an event is a special perk provided by some conference managers to their speakers. This task identifies the times needed for drivers to arrive.


    Flight Requests: This information is often communicated to a travel agency that is booking airfare for the speakers.


    Copyright Citations: Collecting bibliographical information from the speakers and where their information has appeared in the past is covered by this task.


    Category Picker: This is a list of options or categories that speakers would be able to check off in a selection process. An example would be to select the appropriate experience level for attendees to participate in the session.

  • Attributes are included with no extra charge.


    Searchable delegate viewing site, including a password protected feature. All speakers will have a user name and password for their profile where they will be able to upload any information or files you ask of them, you as the administrator will be able to view/edit all profiles.


    Notification emails to authors requesting submissions. You can setup the system to send out as many or few emails as you’d like.


    Electronic collection site set-up.


    Authors can submit files ranging of greatly varying lengths. The length of presentation or size of file is not an issue, however, large files (20MB or larger) will take several minutes to upload.


    CadmiumCD has an easy to use AV download button in the Harvester. An AV company can simply enter the Harvester from the administrator site, click on the AV link and download all presentations at the event. In addition, the AV company can upload late paper submissions.

  • Extensions are available with an added fee.


    Consider using the Harvester Dynamic Agenda, a feature that pushes scheduling data and updates directly from the Conference Harvester to any web page you specify. Updates can also be directly exported to a Word or Excel Document. Learn More.


    Harvester Review Module is designed for people to log into the Harvester and evaluate the files that have been submitted by the presenters. This feature is available for free for PRO Users. Express and Standard users need to pay an additional fee for this feature.
